This is a part-time position for five weekend hours and five weekday hours (may vary month to month).

CoachArt is a nonprofit organization that serves children impacted by chronic illness through arts and athletics programs that are impactful, meaningful, and adapted to the unique needs and interest of the child. CoachArt seeks someone to help CoachArt’s Bay Area Program Manager ensure that Bay Area families and volunteers have opportunities to engage with the CoachArt community. The Program Assistant will lead high-quality CoachArt programming, including one-on-one or group art and athletic clubs for students ages 5-18. The position will also help the Program Manager match CoachArt students with volunteer coaches for in-home lessons, program partner scholarships, clubs, and one-day group lessons. The Program Assistant will have the opportunity to help hundreds of children with chronic illness engage in transformative arts and athletics programming in keeping with the organization’s mission and goals.

Primary Responsibilities:

This position will report to the Bay Area Program Manager. This position will have a bi-weekly goal cycle that will rotate the primary responsibilities including, but not limited to, the following:

CoachArt Club Responsibilities

    • Create and facilitate 6-10 CoachArt Clubs that provide transformative arts or athletics programs. Clubs typically take place on weekends (mornings and afternoons) and during after-school hours on weekdays.
      • Athletics Clubs (for example: basketball, soccer, bowling, volleyball, etc.).
      • Arts Clubs (for example: sewing, animation, music, painting, etc.).
    • Support One-Day Group Lessons and Community Events within the region and in line with program strategy (quarterly, as needed, etc.).
    • Plan and coach two to four eight-week one-on-one in-home / community lessons (as needed).
    • Assist with curriculum research and development with an emphasis on adaptive and inclusive coaching techniques.
    • Research low-cost/no-cost facilities for potential sports lessons. Assist with the booking process for sports events and activities.
    • Assist with student and volunteer recruitment for activities.
    • Conduct adaptive sports training for volunteers (as needed).
    • Attendance tracking; student, parent, and facility evaluations; and on-site lesson visits.
    • Other duties include: general administrative tasks such as data entry, creating newsletters, confirmation letters, office organization, and answering phone calls.

Student and Family Support

    • Support Bay Area Program Manager with the student intake process including Salesforce database entry and welcome calls.
    • Provide support to families within and around their home communities and throughout the matching process.

Volunteer Support

    • Assist Program Manager with regional matching for in-home lessons.
    • Assist with volunteer communication within the region.

Partner Support

    • Assist with the regional partner relationships and identify new opportunities in line with program vision.

Team Support

    • Help support the annual vision, growth metrics, and goals of the program.
    • Assist Program Manager with platform to assure transparent and useful information related to progress on key pipelines for partnerships, recruitment, and job transitions.

Minimum Qualifications:

  • Associate’s degree preferred
  • Knowledge of Salesforce or other CRM database
  • Proficiency in computer systems, preferably Mac, and the Microsoft Office Suite
  • Proficiency in Google Apps / Google Drive
  • Comfortable with multi-tasking and a virtual work environment
  • Willing to travel and work flexible hours including weekends and/or evenings on a weekly basis
  • Must pass a criminal background check

Desired Experience:

  • Bilingual English/Spanish preferred
  • Education or work experience that can be articulated as relevant to core responsibilities
  • Knowledge of Bay Area with an emphasis on East Bay communities and demographics

Program Assistant — Los Angeles

CoachArt is currently seeking a Program Assistant to work in its Los Angeles office. The position is part-time (15 hours per week) and the compensation is $17 to $18 hourly.

The position helps CoachArt’s Los Angeles program managers to ensure that this region’s families and volunteers are provided with opportunities to engage with the CoachArt community, and to lead group art and athletic clubs for students ages 5-18.
